What Smallpdf is, and what we are
Smallpdf describes itself as a document platform. Its public site lists tools to compress, convert (including PDF to Word, Excel, PowerPoint and images, and Office files to PDF), merge, split, rotate, delete and extract pages, edit, annotate, number pages, crop, redact, watermark, fill forms, sign and protect. It also lists AI features such as a document assistant, summariser and translator, a scanning app, and integrations with Google Workspace and Dropbox. The web platform can store and share files across devices, which implies an account.
Robince Studio is a collection of 158 free tools, of which a set are PDF tools. All of them run client-side: your browser downloads the code once, then does the work locally. We do not have accounts, cloud storage or sharing, because we never receive your files.
These are different products solving overlapping problems, and the right one depends on whether you value a connected platform or a self-contained utility.
Pick a platform when you want cloud storage, e-signature requests and AI features; pick a local tool when you want a quick, private one-off job.

Why privacy by architecture matters
Reputable platforms publish security details; Smallpdf, for example, states encrypted transfer, an ISO/IEC 27001 certification and compliance with privacy regulations on its site. That is meaningful assurance about how an uploaded file is handled. Still, the simplest way to avoid any question about a document is not to send it at all.
Consider the documents people most often put through PDF tools: signed contracts, identity scans, payslips, bank statements, medical forms. For a document like that, a tool that runs on your own device removes a whole category of "who else touched this?" worries. It also keeps working in places with unreliable connections, because there is no upload step.
You can test our claim in a minute:
- Open the tool page, then open your browser developer tools and switch to the Network tab.
- Add a PDF and run the task. Watch the list of requests: the file itself is not sent anywhere, because the work happens in the page.
- For a stronger test, turn on airplane mode after the page has loaded and run the task again. It still works.
Typical tasks, step by step
Here are two jobs that bring many people to Smallpdf, done with our tools.
- To combine documents, use PDF Merge and drag files into order.
- To turn page scans into one file, use JPG to PDF.
- To pull images out of a PDF, use PDF to JPG.
- Shrink a scanned application form for an upload portal: open Compress PDF, add the file, choose the rebuild-as-images mode for the biggest saving, and compare the before and after size shown on screen.
- If the result is still too large, split the document with Split PDF and upload parts separately, or remove cover pages you do not need using Delete PDF Pages.
- Sign a form: open Sign PDF, create your signature, place it on the page, and download the signed copy. Use Fill PDF Form first if the document has form fields.
- Before sharing, consider Flatten PDF so that filled fields and annotations become part of the page and cannot be altered by accident.
What "free" means on each side
Free tiers on many online PDF services restrict how many tasks you can run or how large a file can be, and nudge toward a paid plan or a trial for more. These rules change, so read the current terms on the provider's site rather than relying on a third-party article, including this one.
Our position is simple and structural: we do not impose a task limit because we are not paying server costs per task. Your device does the processing. The practical ceiling is your own browser memory, which for typical documents is not a constraint, but for very large files on an old phone it can be.
When another tool is the better choice
Smallpdf or a comparable platform is the better fit when:
- You need to convert PDFs to or from Word, Excel or PowerPoint. We do not provide Office conversion.
- You need OCR on scanned pages to make text searchable or copyable.
- You want to send signature requests to other people and track their status. Our Sign PDF lets you sign your own copy; it is not a request-and-tracking workflow.
- You want your files available across devices through cloud storage, or you collaborate in a team workspace.
- You prefer a dedicated mobile app for scanning and organising on the go.
- You want AI features such as summarising or translating a document.
- You edit the existing text of PDFs often. Our PDF Editor adds text, images and white-out, but is not a full text editor.
If your task needs OCR, Office conversion or tracked e-signatures, use a platform built for it.
A practical way to decide
Think about the document, not the brand. For a one-off job on a sensitive file, such as merging bank statements or signing a lease, a local tool is a comfortable choice. For a recurring business workflow with several people, templates and audit trails, a platform with accounts is a sensible one. Many people use both: a browser-based tool for quick private tasks, and a platform when collaboration or conversion is needed.
If you try our tools and hit something they cannot do, that is useful to know before you invest time. The limits above are real, and we would rather you reach the right tool quickly.
