How to use Online Spreadsheet

  1. Click a cell and type a number or text. Press Enter to confirm and move down, or Tab to move right.
  2. Start with = to write a formula, such as =SUM(B2:B4) or =B2*C2. Cells and ranges are updated automatically when the numbers change.
  3. Select cells to format them: bold, italic, alignment, colours and number formats such as percent or two decimals.
  4. Press Download Excel (.xlsx) or CSV to save, or Open .xlsx or .csv to edit an existing file.

Getting started with formulas

A formula starts with an equals sign. =B2*C2 multiplies two cells. =SUM(D2:D10) adds a range of cells. =IF(B2>100,"High","Low") shows a word depending on a value. Cell names are a column letter and a row number, such as C5, and a range joins two cells with a colon, such as A1:A10.

When you change a number, every formula that uses it recalculates. If a formula refers to itself, the cell shows #CIRC!. If it divides by zero it shows #DIV/0!. If the name is not recognised it shows #NAME?.

Copying and filling formulas

When you copy a cell with a formula and paste it somewhere else, the cell references shift with it, so =B2*C2 pasted one row down becomes =B3*C3. Select a column of cells starting with a formula and press Ctrl+D to fill the formula down, or Ctrl+R to fill it right. Put a dollar sign before a column letter or row number, as in $B$2, to keep it fixed.

Tips

  • Select a range of cells to see its count, sum and average in the status bar.
  • Use the number format menu to show percentages or two decimal places without changing the value.
  • Click a column letter or row number to select the whole column or row.
  • Use Add 50 rows when you need more than the first 100 rows.
  • Download an .xlsx or CSV copy regularly.

Limits

This is a simple spreadsheet with one sheet of 26 columns and up to 1,000 rows. It does not have charts, filters, sorting, pivot tables, merged cells, multiple sheets, comments or shared editing, and it supports a limited set of functions. A downloaded .xlsx contains values and formulas but not formatting. To turn your numbers into a chart, copy the cells and paste them into the free Chart Maker.

Why use this online spreadsheet tool

  • Formulas that update. Use cell references, ranges and functions such as SUM, AVERAGE, MIN, MAX, COUNT, IF, ROUND, SUMIF and COUNTIF. Results recalculate as you edit.
  • Works the way you expect. Arrow keys, Tab and Enter, copy and paste between cells and from other spreadsheets, fill down with Ctrl+D, undo and redo, and a formula bar.
  • Open and save .xlsx and CSV. Download as an Excel .xlsx file with your formulas, or as CSV. Open .xlsx, CSV and TSV files to edit them.
  • Private and saved on your device. Your sheet is stored in your browser and never uploaded. There is no account and no watermark.
