What an invoice usually includes

An invoice is a request for payment. Most include who is billing, who is being billed, a unique invoice number, the issue and due dates, a list of what was sold with quantities and prices, any tax or discount, and the total to pay.

Add payment details and terms in the notes so your client knows how and when to pay.

Tips for clear invoices

  • Give every invoice a unique number and keep them in order.
  • Describe each item clearly so the client knows what they are paying for.
  • State the due date and any late payment terms in the payment terms box.
  • Put your bank or payment instructions in the notes.
  • Save a copy of the PDF and the .json file for your records.

How the totals are worked out

Each line amount is quantity times unit price. The subtotal is the sum of the lines. A discount is taken off the subtotal, either as a percent or a fixed amount that cannot exceed the subtotal. Tax is then added on the discounted amount, followed by shipping or other charges. If you enter an amount already paid, it is subtracted to give the amount due.

Limits

This is a simple invoice maker, not accounting software, and it does not give legal or tax advice. Check local invoice and tax rules. Everything is created in your browser and nothing is uploaded. The PDF uses standard fonts, so characters outside the Western European set show as question marks. It supports one tax rate per invoice, and your logo is resized to a small image.

Why use this invoice generator tool

  • Live invoice preview. See the invoice change as you type, with the subtotal, discount, tax, total and amount due worked out for you.
  • PDF, print or save. Download a PDF with a clean table that continues onto extra pages for long invoices, print it, or save it as a .json file to open again later.
  • Your look and currency. Add your logo, pick one of six accent colours, choose A4 or US Letter, and use a wide range of common currencies.
  • Private and free. Your invoice is built on your device and saved only in this browser. There is no account, no watermark and no upload.

Frequently asked questions

How do I create an invoice online for free?

Fill in your details and your client's, add your line items, and check the live preview. Then press Download PDF or Print. It is free, needs no account, and the invoice has no watermark.

Is my invoice data uploaded or stored on a server?

No. Everything is worked out in your browser. Your details are autosaved only in this browser's local storage so you can come back to them, and nothing is sent to a server. You can clear it with New invoice.

Can I reuse an invoice for the next month?

Yes. Use Save invoice to download a .json file, then Open invoice to load it later. You can also just change the invoice number and dates, since the page remembers your last invoice in this browser.

How do I add tax or a discount to an invoice?

Type a tax percentage to add tax on the amount after discount. For a discount, enter a number and choose whether it is a percent of the subtotal or a fixed amount. Shipping or other charges can be added too.

Is this invoice legally valid in my country?

This is a simple invoice maker and it does not give legal or tax advice. Rules on required details, tax numbers and numbering differ by country and business type, so check the requirements that apply to you before sending an invoice.

Why do some characters show as question marks in the PDF?

The PDF uses standard built-in fonts, which cover Western European characters. Letters outside that set, such as many non-Latin scripts, are replaced with a question mark. The on-screen preview and Print show your text as typed.
