How to sign a PDF without printing and scanning it

You can place your signature on a PDF in a couple of minutes on a laptop or phone, with no printer, pen or scanner. This guide covers the steps and the difference between a drawn signature and a digital one.

The quick way to sign a PDF

Printing a form, signing it, and scanning it back is slow and wastes paper. The same result can be achieved by placing an image of your signature onto the page and saving a new PDF. The Sign PDF tool on this site does exactly that in the browser: you open the PDF, create a signature, drag it to the signature line, and download the signed copy. The document is not uploaded, so a private contract or ID form stays on your device.

  1. Open the Sign PDF tool and choose your PDF. Thumbnails of every page appear, so you can jump to the page that needs a signature.
  2. Press Create signature. Draw with a mouse, finger or stylus; type your name in a handwriting-style font; or upload a photo of your real signature and remove its white background.
  3. Optionally create initials as well, for pages that need them on every sheet.
  4. Pick the saved signature, initials, a date stamp or a line of text, then click the page where it should go. Drag to move it and use the corner dot to resize. Repeat on each place that needs one.
  5. Download the signed PDF and open it once in a second viewer to check that everything landed where you expected.

Draw, type or upload a signature, drag it into place, and download a new PDF; no printer needed.

Visual signature versus digital signature

These two terms are often mixed up, and the difference decides whether a recipient will accept your file. A visual (or electronic) signature is a picture or typed mark that shows your intent to sign. It is what you get when you draw your name and place it on the page. A digital signature in the strict technical sense is a cryptographic seal produced with a certificate; it can prove who signed and show whether the document changed afterwards.

The Sign PDF tool creates visual signatures. It does not create cryptographic ones, and it does not by itself record an audit trail of who signed when. Many everyday documents only need the first kind, but some counterparties explicitly require the second kind or a particular e-signature service.

A note on whether it will be accepted

Whether a signed PDF is accepted depends on who asks for it and on local rules. This is general information, not legal advice. Laws about electronic signatures differ by country, and some document types, such as certain property transfers, wills or notarised papers, may have formal requirements that a drawn signature does not meet. If the document matters a lot, ask the recipient: "Is an electronic signature image on a PDF acceptable, or do you need a specific signing service?" A one-line email can save a rejected application.

Also remember that a visual signature on a PDF can be copied by anyone who has the file. That is the same as a scan of a pen signature, but it is worth knowing before you email a signed document to a stranger.

Tips for a clean, professional result

A few habits make the signed file look right and reduce the risk of misuse.

  • Draw large and then scale down. A signature drawn at full size and shrunk looks smoother than one drawn tiny.
  • If you upload a photo of your real signature, sign with a dark pen on plain white paper in good light, and crop closely.
  • Place the signature on the line, not over printed text. Zoom in to check that it does not cover a number.
  • Add the date with the date stamp option instead of typing, so the format matches the form.
  • Sign the final version. If the PDF still needs changes, make them first; editing after signing can raise questions.
  • Name the output clearly, for example "lease-agreement-signed.pdf", so it is not confused with the unsigned copy.
  • Keep your signature image out of shared cloud folders. Anyone with the image can reuse it.

Signing on a phone

The tool works in a mobile browser. Drawing with a fingertip is practical, though a stylus gives a neater result. Turn the phone sideways to get a wider drawing area. When you place the signature on a long form, pinch to zoom on the page so the drag handles are easy to hit. If you find the page scrolls instead of moving the signature, tap the signature first to select it, then drag.

Making the signed PDF harder to alter

A visual signature does not lock the document. If you want to reduce casual tampering, you can flatten the file after signing, which merges the signature image into the page content so it can no longer be moved or deleted as a separate object. The Flatten PDF tool does this, and also has a mode that rasterises pages. Flattening does not make a document tamper-proof, since a determined person can still edit the pixels, but it removes the easy drag-the-signature-elsewhere trick.

Sensitive forms often include personal details beyond the signature. Check the PDF properties with the PDF Metadata Editor before sending, and if you need to hide an ID number on a supporting page, use the Redact PDF tool in secure mode rather than a simple box.

When to use something else

Use a dedicated e-signature service when several people must sign in order, when you need a record of who signed and when, when a counterparty names a specific provider, or when the document needs a certificate-based signature. Use a desktop PDF editor when you need to fill a complex form with scripts. For a straightforward one-signer document that just needs a signature, a date and perhaps initials, signing in the browser is quick and keeps the file private.

Frequently asked questions

Can I sign a PDF without printing or scanning it?

Yes. Open the PDF in a browser-based signer, draw or type a signature, place it on the signature line and download the new file. No paper or scanner is involved.

Is a drawn signature on a PDF legally binding?

It depends on the country, the document type and what the other party accepts. This is not legal advice. For important documents, ask the recipient whether a visual signature is acceptable or whether a specific e-signature service is required.

What is the difference between an electronic and a digital signature?

An electronic signature is any mark showing intent to sign, such as a drawn image. A digital signature in the technical sense uses a certificate to prove the signer and detect later changes. The Sign PDF tool makes the first kind.

Does the Sign PDF tool upload my document?

No. Signing happens in your browser, so the file and your signature stay on your device. You can confirm that in the browser network tab.
