The short answer
Put the page on a flat, plain surface in good light, open a scanner app, hold the phone parallel to the page and let the app detect the edges. Check the preview, retake if the text is blurry, then save the result as a PDF. A scanner app is better than a normal photo because it corrects perspective, crops to the page and improves contrast.
Light and a flat page matter more than the phone. Daylight from a window beats a lamp that casts shadows.
Get a good scan: a quick checklist
- Use a contrasting background. A dark table under a white page makes edge detection easy.
- Flatten the page. Creases and curled corners cause distorted text.
- Light it evenly. Avoid your own shadow falling on the page and avoid glare on glossy paper.
- Hold the phone parallel to the page, directly above it, so the lines of text stay straight.
- Fill the frame, but keep all four corners visible so the app can find the edges.
- Check the preview. If a letter is hard to read on screen, it will be hard to read in the PDF. Retake it.
Photo or scan: what is the difference?
| Plain photo | Scanner app | |
|---|---|---|
| Edges | Includes the table and background | Crops to the page |
| Perspective | Page looks tilted or trapezoid | Straightened to a rectangle |
| Contrast | Greyish, shadows visible | Cleaned up for text |
| Output | One image per page | Multi-page PDF |
Keep the PDF small enough to send
Many portals and email services limit attachment size, so a ten-page scan at full photo resolution can be too big. Scan at a normal document resolution rather than the highest setting, use black-and-white or greyscale for text pages, and keep colour only for photos or stamps that need it.
If a PDF is still too large, you can shrink it with a free browser tool without uploading it anywhere.
Scan QR codes and barcodes too
A phone scanner is often needed for more than paper. QR codes on menus, tickets, payment pages and Wi-Fi labels, and barcodes on products, all need a camera scanner. An all-in-one app saves you installing two.
The QR and Document Scanner app from Robince Studio is free for Android. It scans documents to PDF, reads QR codes and barcodes, creates QR codes, and keeps your scans in one library where you can share or export them.
Frequently asked questions
How do I scan a document to PDF with my phone?
Open a document scanner app, place the page on a flat surface in good light, let the app detect the edges, check the preview and save the result as a PDF. Scan all pages in one session to get a single multi-page file.
Why is my scanned document blurry?
Usually poor light, camera shake, or holding the phone too close. Use even light, hold the phone steady and parallel to the page, and retake if the preview text is not sharp.
How can I make a scanned PDF smaller?
Scan text pages in black-and-white or greyscale, use a normal document resolution and, if needed, compress the PDF afterwards with a free browser tool.
Can one app scan documents and QR codes?
Yes. The QR and Document Scanner app for Android scans documents to PDF and also reads and creates QR codes and barcodes.
Are my scans uploaded anywhere?
That depends on the app. Check the privacy policy of any scanner you use. The free PDF and image tools on this site run in your browser and never upload your files.
