How to Get Spreadsheet Formulas and Data Help from AI

This guide is for people who work with spreadsheets but get stuck on formulas and messy data. You will learn how to describe your sheet to an AI assistant, get a formula you understand, and test it before it touches real work.

Step by step

  1. Describe the layout in words

Tell the AI what each column holds and which row the data starts on. For example, column A is the order date, column B is the amount. Without the layout, the AI will guess cell addresses and get them wrong.

  2. Say which spreadsheet program you use

Formulas can differ between programs. Name the one you use and, if you know it, the version. Also say whether your computer uses commas or semicolons between formula parts, since the wrong separator causes errors.

  3. State the result you want

Describe the outcome in plain words, such as total sales for one region in one month. Give a small example with real numbers and the answer you expect. An example makes the request much clearer.

  4. Ask for the formula and an explanation

Ask the AI to write the formula and explain each part in simple words. If you cannot explain a formula yourself, you will not spot when it breaks later. Understanding it is part of the job.

  5. Test on five rows first

Paste the formula into a spare cell and compare the result with your hand calculation for a few rows. Try an empty cell and an odd value too. Only then copy it down the whole column.

  6. Paste the error back to the AI

If you see an error or a wrong answer, copy the exact message and the formula back into the chat. Say what you expected. This lets the AI fix the real problem instead of guessing.

  7. Use made-up sample data for sharing

When you ask for data cleaning help, replace real names and numbers with fake ones that look similar. The AI only needs the pattern. Keep your original file untouched and work on a copy.

Prompts you can copy

Replace the parts in [square brackets] with your own details. The more specific you are, the better the answer.

Get a formula that works
I use [spreadsheet program]. My data starts in row [number]. Column [letter] holds [what it contains] and column [letter] holds [what it contains]. I want [result in plain words]. Example: [sample rows] should give [expected answer]. Write the formula, then explain each part in simple words and tell me how to test it.
Clean up messy data
I have a column of [type of data, e.g. phone numbers] that looks like this: [3 to 5 made-up examples of the mess]. I want them all to look like this: [target format]. Suggest a way to do this in [spreadsheet program] using formulas or built-in tools. Explain the steps for a beginner.
Fix a broken formula
This formula in [spreadsheet program] gives [error message or wrong result]: [paste formula]. My data is laid out like this: [describe columns]. I expected [expected result]. Explain what is wrong in simple words, give a corrected formula, and tell me one test I can do to confirm it.

A worked example

Sunil keeps a monthly sales sheet for a small shop and needs the total for one product category.

YouI use a common spreadsheet program. My data starts in row 2. Column A is the sale date, column B is the category, column C is the amount. I want the total amount for the category Snacks. Example: three Snacks rows of 100, 250 and 50 should give 400. Write the formula, explain it, and tell me how to test it.
AI assistant (illustrative answer)Try =SUMIF(B2:B500,"Snacks",C2:C500). SUMIF looks down column B for the word Snacks and adds the matching amounts from column C. To test it, copy your three example rows into a spare sheet and check the answer is 400. If your sheet uses semicolons, replace the commas with semicolons.

Check before you use it

  • Test the formula on a handful of rows where you already know the right answer from adding by hand.
  • Check that the cell ranges cover all your data and do not stop early or include header rows.
  • Try an empty cell, a zero and a text value to see whether the formula breaks or gives a misleading result.
  • Confirm you can explain what each part of the formula does before you share the sheet with anyone else.
  • Keep a backup copy of the original file before pasting any new formula over existing data.

Common mistakes

  • Describing the problem without the column layout. Fix it by listing each column and its contents before asking for any formula.
  • Pasting a formula over the whole sheet at once. Fix it by testing it in one spare cell on a few rows first.
  • Sharing real customer data. Fix it by replacing names and numbers with similar-looking fake ones before asking for help.

Frequently asked questions

Why does the formula from AI give an error?

Common causes are the wrong cell range, a different separator style on your computer, or a function your program does not have. Copy the exact error and your layout back into the chat and ask the AI to explain and fix it.

Can AI clean thousands of rows of data?

It is better at teaching you a method than processing a huge file. Ask for a formula or step-by-step tool that you run yourself, test on a small sample, and then apply to the full sheet.

Do I need to learn formulas if AI can write them?

A little understanding helps a lot. If you can read the formula, you can catch mistakes and adjust it later. Ask the AI to explain every formula it gives you, in plain words.
