How to Summarise a PDF or Long Notes with AI
This guide is for students and busy readers who have pages of notes or a long document and little time. You will learn to get the text into a chatbot, ask for a summary in the shape you need, and check it so you end up with one page of reliable revision notes.
Step by step
Get the text out of the file
A chatbot works best with plain text. Copy the words from your notes, or use a PDF to text tool if the file will not let you copy. Check that the text is readable and not full of odd symbols.
Split long material into sections
Very long text can make an AI skip parts or lose detail. Break it into chapters or groups of a few pages. Summarise each section on its own, then combine the short results at the end.
Say who the summary is for
Tell the AI your purpose, such as revising for an exam or briefing a manager. Also say your level and the length you want. A summary for a beginner looks very different from one for an expert.
Ask for a fixed structure
Request a shape you can use, such as five key points, a list of terms with meanings, and three questions the text leaves open. A set structure is easier to scan and easier to check later.
Check it against the original
Open your source beside the summary and tick off each point. Look for missing items, wrong numbers and claims the text never made. Ask the AI to quote the exact sentence behind any point you doubt.
Refine and save your final notes
Ask follow-up questions, such as explaining one point more simply or shortening to ten lines. Then rewrite the final notes in your own words. Doing that helps you remember them far better than reading.
Prompts you can copy
Replace the parts in [square brackets] with your own details. The more specific you are, the better the answer.
I am a [your level, e.g. first-year biology student] revising for an exam. Summarise the text below in [number, e.g. 6] bullet points. Use simple words. After the bullets, list the key terms with a one-line meaning each. Only use what is in the text. If something is unclear, say so instead of guessing. Text: [paste your text here]
Below are summaries of different sections of one document about [topic]. Combine them into one summary of about [number, e.g. 200] words. Keep the order of the original sections. Point out any places where the sections seem to disagree with each other. Summaries: [paste your section summaries here]
Here is a summary and the original text it came from. Compare them. List any important points from the original that the summary leaves out, and any statements in the summary that the original does not support. Summary: [paste summary here] Original: [paste original text here]
A worked example
Maya, a nursing student, has four pages of lecture notes on how the heart pumps blood and wants a one-page revision sheet.
Check before you use it
- Compare every bullet with your source and confirm the text really says it, not just something that sounds similar.
- Check all numbers, names, dates and units against the original, because these are the details an AI most often changes.
- Look for important topics in your notes that the summary skipped, especially anything your teacher stressed in class.
- Ask the AI to quote the exact sentence behind any point that looks surprising, then find that sentence yourself.
- Read the final summary aloud once to confirm it still makes sense and keeps the original meaning.
Common mistakes
- Pasting a whole book chapter at once. Split it into sections and summarise each one, so details are less likely to be dropped.
- Trusting the summary without reading the source. Always tick off the main points against the original before you study from it.
- Asking for a summary with no purpose or length. Say who it is for and how long it should be to get something useful.

Frequently asked questions
Can an AI summarise a PDF directly?
Some chatbots accept file uploads and some do not, and results vary. The safest method is to extract the text first, check it is readable, then paste it in sections. That gives you control over what the AI actually sees.
How long should my summary be?
Pick a length based on your purpose. For revision, five to ten bullet points per section usually works. For a quick briefing, two or three sentences is enough. Tell the AI the exact length you want, then adjust.
Will the summary be accurate?
Often it is close, but not always. An AI can miss a point, blur two ideas together or state something the text never said. Treat the summary as a first draft and always compare it with your original source.
